Common Mistakes and Points to Pay Attention to in the Ethics Committee Application File

For graduate students preparing Ethics Committee application files for non-interventional research, the common mistakes and points to pay attention to are listed below.

Permission Letters and General Issues:

  • If the data collection process will be carried out within our university, an approval letter from the Rectorate should be obtained along with the Ethics Committee approval after the Ethics Committee application.
  • The Ethics Committee form should not have missing information or signatures regarding the researchers or the research location.
  • As thesis work must be original and confer an academic degree, academic advisors should not be mistakenly identified as researchers.

Insufficient Definition of the Study and Purpose of the Research:

  • In the Importance of the Topic section, it should be specified what information gap or need exists in the selected topic, followed by an explanation of the study's purpose.
  • The purpose of a scientific study defines what the research aims to investigate and its objectives. After the purpose statement, sub-goals, problem statement, sub-problems, or research questions should typically follow to specify the boundaries and how the objective will be achieved.
  • These sub-goals may be written as simple sentences, questions, or hypotheses. Sub-problems and research questions should be written as question sentences.
  • While writing your hypothesis, sub-problems, and research questions, the method and design of the research must also be determined. You need to think about how data will be collected, who will be involved, and how the data will be analyzed either qualitatively or quantitatively. In short, the study’s purpose, research questions, design, data collection tools, and data analysis must be logically aligned and written cohesively.
  • "Introduction and Problem" is the starting point, answering the first three questions briefly.
  • The section titled "Research Purpose and Importance," which must be completed for the application to the committee, should include references to previous studies in the field.
  • The references should follow citation style rules.

Ethical Issues Regarding the Method Used in the Research:

  • The ethics committee file should not state that practices beyond professional expertise will be carried out on individuals.
  • Clinical research falls under the domain of the Clinical Research Ethics Committee.
  • It is an ethical issue if a practice that affects vulnerable groups, which is not part of an existing standard, is conducted within the scope of the research.
  • If the research involves applying a practice that is part of an existing standard (e.g., applying an accepted scale), it should be stated in the study.

Issues with Scales Used in Research:

  • Using a scale that has not been included in other scientific publications is not recommended, even if it is cited in the thesis bibliography. Especially in master's or doctoral theses, using scales should be done carefully.
  • If the survey/test/scale to be used in the study is widely used in the literature and does not require permission, it is not necessary to obtain permission. However, if this condition is not met, permission from the scale owner must be obtained.
  • If the “Demographic Information” section or all survey questions are created by the researchers, this should be clarified and stated in the form.
  • If any changes are made to a scale, the justification and permission from the developers should be mentioned.
